Billing
Your organization's licences, plan, billing profile and invoices on one page with four tabs
What your organization pays and how is managed under Organization settings → Billing & usage → Billing. The page has up to four tabs, and the address bar names the open one (?tab=licenses, plan, profile or invoices):
- Licenses: how many licences your organization has, who holds one, and ordering more. See Licenses.
- Plan: what your organization pays and how: the subscription, the learning platform and pay-as-you-go.
- Billing profile: who the invoices are made out to.
- Invoices: the invoices issued to your organization.
You see only the tabs that apply to your organization and your role:
| Organization | Licenses | Plan | Billing profile | Invoices |
|---|---|---|---|---|
| Business | yes | yes | yes | yes |
| Enterprise (sales-managed) | yes | only with pay-as-you-go | no | yes |
| Business trial | yes | only with pay-as-you-go | no | no |
| Managed by a partner | yes | only with pay-as-you-go | no | no |
With the permission Manage billing and licences you see every tab that applies. With only Assign licences you see the Licenses tab alone. An organization managed by a partner requests licences from the partner and gets its invoices from the partner, which is why it has no billing profile or invoices here.
The billing page always shows the prices that apply to your organization. If a partner looks after your organization, the partner sets the prices and the page shows none. Protection of professional secrets under § 203 StGB is not bought per seat. It is included in the Business plan and switched on for the whole organization, see Privacy.
Plan
Manage subscription
On the Plan tab of a Business organization, Manage subscription opens the Stripe billing portal, where you change payment methods or cancel. How many licences your subscription covers is changed under Licenses.
Learning platform
If your organization does not have the learning platform yet, the card Learning platform lets you buy it once with Buy learning platform. See Learning.
Pay by SEPA Direct Debit
SEPA Direct Debit is available on request. If you would like to pay that way, contact customer support. Once it is enabled for your organization, you can choose SEPA Direct Debit next to card and PayPal when buying licences.
- Collection takes 1 to 6 business days. The seats are available and assignable immediately. In the meantime, the page shows "SEPA Direct Debit in progress". You do not have to wait, and you should not pay a second time.
- If the debit is returned, your organization keeps access for now. The notice names your bank's reason and the date you have until; the same details go by email to your billing contact. You can pay the open invoice by card or provide new bank details. If it is still unpaid on that date, the subscription is cancelled.
- Exceptions: the very first payment, and a reversed debit. If the first debit of an organization that has not yet fully paid an invoice is returned, or if a debit is reversed by your bank after it was collected, paid access is paused right away instead. The page then shows "Your direct debit failed — please update your payment method", and members see a short note that a payment is outstanding. This is not a suspension: seats, members and data stay as they are. If the organization has not fully paid an invoice yet, pay-as-you-go is paused as well until the payment arrives, wherever your organization uses it, not only in chat. After a failed first debit, access comes back by itself as soon as the invoice is paid. A new direct debit restores access only once it has been collected, which takes several days; paying the open invoice by card from the notice restores it at once. A reversed debit cannot be settled by paying again on its own: contact customer support so the amount can be collected again and access restored.
- A failed purchase of additional seats never endangers your existing subscription. Only that one invoice lapses, and the additional seats are removed again.
SEPA Direct Debit is only offered at checkout. An existing card subscription cannot be switched to direct debit, and Platform API credits are card-only. For very large amounts (from roughly €10,000), for example a big yearly purchase, direct debit is not technically possible; card and PayPal remain available. A revoked mandate cannot be repaired: enter the bank details again so a new mandate is created.
Billing profile
On the Billing profile tab, Business organizations set the Invoice recipient: the company name and address the invoices are made out to. Changes apply to future invoices only. Invoices already issued stay as they are.
Below it, the tab shows the invoice email and the VAT ID on file. You cannot change them here: you enter the VAT ID at checkout, and to change either, contact customer support.
Enterprise organizations have no billing profile tab: DeutschlandGPT keeps their billing details. If they need to change, contact your account manager or customer support.
Download invoices
The invoices are on the Invoices tab. Before the first invoice exists, it shows No invoices yet.
- Business organizations see their recent invoices with Invoice no., Date, Amount and Status (Paid or Open). Preview shows an invoice, Download invoice saves it as a file. All invoices and receipts are in the billing portal behind View in portal.
- Enterprise organizations see the invoices DeutschlandGPT has issued to them. Preview shows an invoice, Download invoice offers it as PDF, ZUGFeRD and, where available, XRechnung. Until there are any, the tab shows Invoices are managed centrally: your DeutschlandGPT account manager or your partner sends you the invoices.
Invoices for credit top-ups are not in this list, because they do not belong to the subscription. On the Plan tab, open Manage credits and go to the Credits tab: in the Credit History table every top-up has a Download invoice icon on the right.
Pay-as-you-go
With pay-as-you-go, members can keep working after they reach the usage budget included in their licence. The extra usage is billed by consumption. Where your organization has it, it is set up on the Plan tab. The setup and limits are described under Pay-as-you-go.
When the budget runs out
Every licence includes a monthly AI budget. Once it is used up, members keep chatting with the low-cost budget models, and the more expensive ones disappear from the model picker until the month rolls over. Members see their usage under Usage as a percentage.
If someone should keep working with every model, they need pay-as-you-go or a 5x licence. Without pay-as-you-go, "over the limit" always means budget models only.
Trial allowance
A trial you requested through our website has a fixed trial allowance for AI usage over the whole trial. Shortly before it is used up, administrators see the notice "Your trial allowance is almost used up" in the chat. Once it is used up, every member keeps chatting with the low-cost budget models. The other models, image generation, voice input, scheduled tasks, the Platform API, workflows, chatbot widgets and the CLI come back only once you buy a licence or we extend the allowance. Pay-as-you-go does not lift the trial allowance.
In the dialog "Your trial allowance is used up" choose Buy a licence or Request an extension. For an extension, tell us your company and what you are testing DeutschlandGPT for, and we will get back to you. Buying a licence ends the trial, and the trial allowance no longer applies.
In rare cases we limit a trial to the budget models earlier, until we have reviewed it. You then see the same dialog and can buy a licence or request an extension in the same way. An answer that is being written with one of the other models at that moment ends after its current step.
