Glossary
Define organisation-specific terms and abbreviations that the AI understands automatically at runtime
Teach the AI your internal language. The glossary holds your organisation's terms, abbreviations, and their explanations, and the AI pulls the relevant entries into context on every conversation so product names and industry jargon are understood consistently.
Creating and editing entries requires the appropriate glossary permission. Users with view-only access can read entries but not change them.
Create an entry
Click Create term to add a new entry. Each entry has three fields.
Term
Required. The primary name for the concept, for example "High-bay warehouse". To capture synonyms or alternative spellings, add more names in the extra term fields below the first.
Abbreviation
Add one or more abbreviations for the term, for example "HRL" or "LRL". Use the + button to add another and the delete icon to remove one.
Explanation
Describe what the term means in your organisation's context, up to 2,048 characters. The more precise the explanation, the more reliably the AI applies it.
What happens at runtime
When a member sends a message, DeutschlandGPT scans the glossary for matching terms and abbreviations and includes the relevant definitions as context. The AI then:
- Expands abbreviations that are unique to your organisation
- Uses your preferred terminology when it writes responses
- Understands domain-specific concepts without needing them re-explained each time
Manage entries
The entry list has two tabs:

Click Edit to change an entry. Each entry shows who created it and when it was last updated. Use Download glossary to export every entry as a file, handy for review or offline sharing.
Delete an entry
Click Delete term at the bottom of the entry. This cannot be undone. Existing chats that referenced the term are untouched. Only future conversations stop receiving this context.
