Office templates

Upload your company's PowerPoint, Word and PDF templates so new presentations and documents are built on them

An Office template is your company's own PowerPoint, Word or PDF file. Once it is uploaded, new presentations and documents are built directly on that file, so they carry your logo, slide layouts, colours, fonts, letterhead, headers and footers.

Office templates are not the same as prompt templates, which are saved prompts you insert with /.

Where templates are uploaded

PageWhoWhat you can do
Office templates under Organization settings → AI & models → Office templatesOrganization adminsUpload templates for the whole organization or for certain groups or people, delete them, mark a default
My Office templatesEvery userUpload personal templates only you can use and delete them. The organization's templates are shown read-only

Both pages list every template in one table with name, program, visibility and upload date. The Program filter shows one program's templates, and the search box finds a template by name. These are the programs:

ProgramFile typesUsed for
PowerPoint templates.pptx, .potxPresentations in the chat, the PowerPoint add-in and the desktop app
Word templates.docx, .dotxDocuments in the chat. Headers, footers, styles and page setup are kept, and placeholders such as {{Name}} are filled in
PDF templates.pdfPDFs in the chat. Fillable forms get their fields filled, a letterhead gets the new content laid over it

To upload, click Upload template, pick the Program, type a name if you like (otherwise the file name is used), choose the file and click Upload. Pick the name with care: it is how people ask for the template in the chat.

Templates for certain groups or people

An organization template can be meant for everyone or only for certain groups or people, for example when several companies of a group share one organization and each has its own letterhead. Under Visibility an admin picks Entire organization or Certain groups or people.

  • Only the people a template is meant for see it and can use it, in the chat, the Office add-ins and the desktop app.
  • Group membership is read live, including groups synced from your directory via SCIM.
  • If every chosen group and person is deleted, nobody can use the template. It never falls back to the whole organization.
  • Members see such a template marked Shared with you on My Office templates.

Which template is used

  • Name it and you get it. Mention the template in your request, for example "on the Sales 2026 template". A partial name or a small typo is enough when it is unambiguous. If several templates match, you are asked which one.
  • The same chat keeps its template. The next presentation or document in that conversation uses it again.
  • Otherwise the default. An admin marks a template with Set as default. A default for a group replaces the organization-wide default for its members, and a default set for one person by name wins over both. Defaults are per program: a Word default does not affect PowerPoint.
  • In two groups with their own default? Then you are asked which template to use. Naming it avoids the question.
  • Several templates and no default? The template you used last is taken, otherwise the one used most in your organization, and you are told which one. Admins see a hint on the Office templates page when several organization-wide templates have no default.
  • Personal templates can never be the default. Name yours to use it.
  • No template at all? A presentation is built on DeutschlandGPT's own design, with colours and type that fit the topic. You can ask for a colour or a style, for example "in shades of green" or "formal, for the board". For Word and PDF you are offered a file without a template.
  • Say "without a template" if you want a presentation without your company's design.

A template file you attach to a chat message is not saved as an Office template. You can still tell the assistant to use it as the template for this conversation; to use it in other chats, upload it on one of the pages above.

Asking for a file

In the chat, just ask and mention the template if there is more than one: "Create an 8-slide presentation of our quarterly figures on our company template". The finished file arrives as a download. Office does not need to be installed.

Presentations use the template's own layouts, colours, fonts and logo. Charts and tables are real PowerPoint charts and tables you can edit afterwards. Text is never shrunk to fit: a slide with too much content is split over two. Before you get the file, the assistant looks at the finished slides and corrects what does not fit — names, figures and quotes are never shortened for that. To change a finished deck, ask in the same chat, for example "make slide 3 shorter".

In the PowerPoint add-in

Open Tools under the chat input, then Template. The menu lists Automatic, your company's templates and your personal ones; your choice is remembered on that computer. Upload template … in the same menu adds a personal PowerPoint template. The add-in only uses PowerPoint templates.

With Automatic, a template you name in your request is used. Otherwise new slides take the design of the presentation that is open. An empty presentation gets your default template, or DeutschlandGPT's own design if there is none.

In the desktop app

Ask for a presentation and the .pptx is written into the shared folder after you approve it. The template is chosen the same way as in the chat. You can also point to a template file that already lies in a shared folder. Only PowerPoint templates are used here.

Limits

  • At most 30 MB per template.
  • Excel templates are not supported.
  • Templates that keep their design in example slides instead of the slide master work: new decks follow the cover, section break, content and closing slides they show, in their fonts and colours. This includes templates exported from Canva or Google Slides. The result is best when the design lives in the master and layouts.
  • Footer fields such as slide number, footer text and date are taken from the template.
  • Organization templates are managed by admins. You can see them but not change or delete them.
  • Deleting a template is permanent.
